File Vault
Documents in eInfotree are stored in a file vault with a hierarchical storage scheme. It would be possible to store all documents into the single system. Documents are stored in the hierarchical menu tree and can be organized well based on their form, structure and function. It is possible to create parent-child associations within the menu tree in order to enable the organization of the documents.
Store and manage files in virtually any format such as procedures, specifications and qualification protocols in MS Word format, MS Excel spreadsheets, drawings in AutoCAD or Visio format, manuals in Adobe PDF format, and MS Project schedules. Seamlessly link to files on the corporate network or store them securely in the eInfotree database repository.
Create fully configurable databases to store equipment, system, or process specifications and generate user defined reports as required.
Spreadsheet Management
eInfotree provides the ability to store spreadsheets in the file vault with additional security features and control the content of the sheet up to the cell level. The excel file is secured even when the file is checked out from the eInfotree file vault. You can view cell changes, view cell revision history, etc.
Configurable Organization of Data
Organize data in a user configurable hierarchy that is most meaningful to you and meets your existing business processes.
Configure objects and actions that require Audit Trail. The Audit Trail Log includes the object modified, action taken, names of associated objects, date, time, full user name, and reason for change.
Configure objects and actions that require e-signature/digital signature. Define meaning of e-signatures (roles) and restrict user authority for E-signatures to specific roles. For e-signatures, the Audit Trail Log also includes full name of signer, meaning of e-signature and comments. These can be configured for Digital Signature also.
Define and apply security templates defining access levels for objects and actions. Create any number of security templates for unprecedented flexibility and control. The security can be applied up to groups as well as users.
Standardize the file naming structure within the organization for easy search and retrieval.
Markup/Sticky Notes
Add markup to the documents/drawings during the review process. Add sticky notes to the documents at specific pages for future reference.
File Association
All the related documents can be associated visually, so that users can traverse through all the related documents without searching for same.
Mail
Documents inside the DMS can be directly mailed to external users, with an audit trial of the same. Also Links of documents can be mailed to end-users who have access permission to DMS to view the same by clicking on the link.
File Comparison
Compare any 2 versions of drawings or documents visually and find the differences instantly making the review process easier.
Templates can be defined for actions to be taken for documents after certain period of time and assigned to documents, thereby reducing manual intervention of managing the documents.
Relationships
Visualize object relationships to predict impact of engineering, documentation, or project changes. For example, relate specification databases, drawings, SOPs, design specification document and protocols to each other to visualize the impact of change in one object to all other objects.
Maintenance/Change Logs
Create any number of maintenance/change logs to manually enter and store relevant information. Create one change log for files and another for specification data.
Securely share the data repository internally with project team members and other departments or externally with customers and suppliers.
Discussion Groups
Create threaded discussion group organized by topic. A history of discussion is maintained.
Notes
Attach comments to data objects using free text notes. Pass on instructions and relevant information between shifts and operating personnel.
Keyword Search
Search Database Records, Maintenance/Change Logs, Notes and Discussions using keywords.
Query Builder
Run ad hoc queries on database objects and audit trail/e-signature logs using arithmetical and logical operators. Filter information based on Action, Object, User Name and Date Interval.

Notifications
Create notifications to selected users and groups based on configurable time periods, data objects and events.
Document Imaging and Indexing
Directly add documents from your scanner irrespective of hardware to eInfotree with indexing for easy search and retrieval. Additional Document Imaging Module will be required for the same.
The email management module seamlessly integrates with your email client like Microsoft Outlook or Lotus Notes email client. All the incoming and outgoing mails can be archived inside the DMS in respective folders to share the same with other team members.
Third Party Application Integration
eInfotree provides API’s through which integration with third party applications like Outlook, Lotus Notes, ERP, DMS etc. is possible.
